What is the role of a day of coordinator?

The primary goal of a day-of coordinator or wedding coordinator is to make sure that your vision for the wedding day is executed seamlessly, allowing you to focus on each other and your guests rather than the logistics and details of the event. We act as the behind-the-scenes manager, ensuring that everything runs according to plan and addressing any unexpected challenges that may arise.

While our responsibilities may vary depending on the couple's needs and the specific details of the wedding, here are the typical roles and responsibilities of a day-of coordinator:

Pre-Event Preparation:

We will review the wedding timeline, details, vendor contracts, and any special instructions from you for the wedding day.

Vendor Coordination:

Confirm arrival times and logistics with all vendors (caterer, florist, photographer, DJ, etc.).

We will act as the point of contact for vendors on the wedding day, addressing any issues that may arise.

Timeline Management:

Ensure that the wedding day timeline is adhered to, coordinating the flow of events, such as the ceremony, drinks reception, dinner, and reception.

Cue important moments, like the processional, recessional, speeches, and dances.

Venue Setup:

Oversee the setup of ceremony and reception spaces, ensuring that everything is arranged according to your detailed specifications.

Handle any last-minute décor or setup adjustments as needed.

Guest Assistance:

Direct guests to the ceremony and reception locations.

Provide information and assistance to guests, such as seating arrangements and answering questions.

Problem Resolution:

Handle any unexpected issues that may arise during the wedding day, such as weather changes, vendor delays, or logistical challenges.

Make quick decisions to resolve problems and minimize stress for you!

Bridal Party Management:

Coordinate with the bridal party, ensuring they are in the right place at the right time.

Help with any issues or emergencies that members of the bridal party may encounter.

Emergency Kit:

Carry an emergency kit with essentials like safety pins, sewing supplies, stain remover, and other items that may be needed in case of wardrobe malfunctions or emergencies.

Final Details:

Confirm that all personal items, such as the wedding rings, marriage license, and personal mementos, are ready for the ceremony.

Assist with the distribution of boutonnieres, bouquets, and any other personal flowers.

Communication:

Keep the couple informed throughout the day, providing updates on the progress of events and addressing any concerns.

Support and Reassurance:

Provide emotional support and reassurance to you both, helping to alleviate stress and allowing them to fully enjoy their wedding day.
